State Officer Responsibilities

State Convention Preparation & Responsibilities

These are the responsibilities of newly elected state officers. Stay in communication with the State Sponsor throughout the school year and especially prior to the State Convention to be aware of the convention schedule, areas of responsibility, statewide service project, meetings, etc.

Prior to State Convention

  • Write Keynote and send it to National Sponsor for approval by date determined. It should be motivational or inspirational to the audience. The Keynote must be memorized and should be 2 minutes or less when delivered.
  • Write Farewell for the Final Session. The Farewell will be an opportunity to say thanks to the individuals that have helped you on your Beta journey. It does not have to be memorized. It must be 30 seconds to 1 minute in length.
  • Send Keynote to State Sponsor after being approved by National Sponsor
  • Develop Ice Breaker for Candidate Meeting
  • Write a card or note of encouragement to candidates.
  • Communicate with State Sponsor and Elect about Statewide Service Project (What project? What is needed? How to communicate information about the project?)
  • Keep in mind, you are responsible for your accommodations and transportation to the State Convention. So, coordinate with your club sponsor, etc. to make the arrangements in plenty of time. Hotel information can be located on the National Beta website by September 1.

Dress Code for State Convention

  • Black, charcoal, or navy suits are required. The suit can be a combination of jacket and pants or jacket and skirt. FYI - Skirt length must be knee length or longer with no slit above the knee.
  • Dress shirt/blouse
  • Beta tie/scarf (will be brought to your State Convention)
  • Dress shoes
  • Officer badge (will be brought to the first convention you visit or your State Convention)

Officer Meeting at State Convention

  • This meeting takes place at the beginning of the convention and attendance is mandatory for that state’s current serving State Officers.
  • Review information for the Candidate Meeting.
  • Review each session and your areas of responsibility for the convention.
  • Review Ice Breaker for candidates
  • Set up for Candidate Meeting

Candidate Meeting at State Convention

  • This meeting takes place following the Officer Meeting and attendance is mandatory for that state’s current serving State Officers.
  • Greet the candidates as they enter the room and assist them in finding their assigned seat.
  • Ice Breaker for candidates
  • President will call this meeting to order, but all will contribute.
  • Arrive at all meetings/sessions at least 30 minutes early and/or the time designated by National Sponsor.
